Crosbybabies.ltd hall Play Space Terms And Conditions

When you make a booking to visit  **Crosbybabies.ltd hall Play Space **you are agreeing to follow the terms and conditions set out below. we encourage children to play, explore and have fun in a safe and inclusive environment. Our play facilities pose inherent risks such as, but are not limited to; tripping, falling, and bumping into objects and other children. Although we take every reasonable step to control these risks through the thought, maintenance, design and operation of the facility, parents/guardians recognise and accept this risk upon entry. Crosbybabies.ltd accepts no liability for any loss (including theft), damage, or personal injury, unless due to our negligence or other breaches of duty. This includes the car park. In addition, children must be supervised at all times including when in the bathrooms.

Booking & Payment

Booking online is advised, however walk in's are welcome providing we have space. 

Full payment is required before or at the start of the session.

Supervision

Parents/guardians must supervise their children at all times.

Staff are present to support safety but do not provide direct supervision.

Health & Safety

Parents must inform staff of medical conditions or allergies.

Children who are unwell or contagious must not attend.

Accidents are recorded in the Accident & Incident Log book. 

Behaviour

Positive, respectful behaviour is expected from children and adults.

Staff may intervene where safety or wellbeing is at risk.

Equipment & Facilities

Equipment must be used safely and as intended.

Adults must not climb or sit on soft play equipment.

Photography

Parents may photograph their own child only. 

Staff may take photographs for marketing purposes / social media. if you do not wish for your child to be in photographs please inform member of staff.

Cancellations & Refunds

Deposits are non-refundable. 

Refunds (excluding deposit) may be considered in exceptional circumstances.

please see refund policy for further guidance when booking, booking under 72 hours are non refundable 

no shows are non refundable and non transferable

Liability

crosbybabiesltd is not liable for accidents caused by misuse, unsafe behaviour, or lack of supervision.

GDPR And Data Protection

We will comply with data protection law. This says that the personal information we hold about you must be:

Used lawfully, fairly and in a transparent way.

Collected only for valid purposes that we have clearly explained to you and not used in any way that is incompatible with those purposes.

Relevant to the purposes we have told you about and limited only to those purposes.

Accurate and kept up to date.

Kept only as long as necessary for the purposes we have told you about.

Kept securely.

 

 

Parent Welcome Guide & Session Rules

Parents remain with their children throughout sessions. 

No running on hard floors or climbing outside designated play spaces.

Food is only permitted if approved by staff. 

Fire exits and emergency procedures are clearly marked.

Parents should model respectful behaviour and raise concerns politely.

 

Supervision & Responsibility

Children must be supervised at all times by a responsible adult aged 18+.

crosbybabiesltd provides hire only; supervision is not included.

The hirer accepts full responsibility for child safety and correct equipment use.

Safeguarding

Staff will never be left alone with children.

Any safeguarding concerns will be reported to the Designated Safeguarding Lead (DSL) and, if necessary, appropriate authorities.

Staff do not take photographs or videos of children.

Equipment Rules

No shoes, food, drinks, gum, pets, face paint, or sharp objects on equipment.

Adults must not use or sit on soft play equipment.

Equipment must not be moved once installed.

Venue Requirements

Adequate space and safe access must be provided.

Outdoor hires require level ground and suitable weather protection.

Set-up may be refused if conditions are unsafe.

Payments & Cancellations

Deposits are non-refundable.

Full payment is required before or upon delivery.

Late cancellations may incur charges.

Liability & Damage

Hirers are responsible for preventing misuse, overcrowding, and damage.

Charges apply for damaged, heavily soiled, or misused equipment.

Privacy Policy (GDPR)

Data is stored securely in password-protected systems or locked storage.

Records are retained for 3–7 years in line with legal requirements.

All concerns are taken seriously and acted upon.

Responsibilities

Parents remain responsible for supervising their children at all times.

Staff have a duty to act if they observe safeguarding concerns.

Procedures

Staff will not be left alone with children.

Any concerns about a child’s welfare will be reported to the Designated Safeguarding Lead (DSL).

Where necessary, concerns may be shared with local safeguarding authorities.

Confidentiality

Safeguarding information is handled confidentially and shared only on a need-to-know basis.

Review

This policy is reviewed annually or following any safeguarding incident.

Accident, Incident & First Aid Policy

Parents are informed immediately of any injury.

A paediatric first aider may not be present at every session.

Emergency services will be called where required.

All incidents are recorded and reviewed.

Health & Safety & Risk Assessment

Daily safety and equipment checks are completed before sessions.

Unsafe equipment is removed immediately.

Fire exits are kept clear at all times.

Parents must report hazards to staff immediately.
