Parent Welcome Guide & Session Rules

1. Welcome Statement

Welcome to Crosbybabies Ltd! Our All Inclusive Play & Stay sessions provide a fun, safe, and inclusive environment for children aged 0–10. Parents stay with their children throughout the session to ensure supervision and engagement.

2. Session Times & Venue

  • Venue: St Michael’s Community Hall, Crosby

  • Session Times: morning & Afternoon 

  • Please arrive promptly and sign in at the session desk.

3. Supervision

  • Parents/guardians must supervise their children at all times.

  • Staff are available to support, monitor, and maintain safety, but parents retain responsibility for their child’s behaviour and safety.

4. Soft Play Equipment Rules

  • Children must use equipment safely and appropriately

  • No running on hard floors or climbing outside of play areas

  • Equipment is for children only; adults should not climb or jump on play structures

  • Report any damaged equipment to staff immediately

5. Food & Drink Policy

  • Only bring snacks if permitted by staff

  • Notify staff of any allergies or dietary requirements

  • Drinks must be in spill-proof containers

6. Behaviour Expectations

  • Positive, respectful, and safe behaviour is expected

  • Gentle guidance and encouragement are used to manage behaviour

  • Staff may intervene if safety is compromised

7. Photography & Consent

  • Parents may photograph their own child only

  • Staff may take photos for social media or marketing with prior consent

  • Consent forms must be completed before any images are used

8. Health & Safety

  • Inform staff of any medical conditions or allergies

  • Accidents are recorded in the Accident/Incident Log

  • Emergency procedures and fire exits are clearly marked in the hall

9. Parent Conduct

  • Parents should model respectful behaviour to children and staff

  • Concerns should be raised politely with staff or management

Data Protection & Privacy Policy (GDPR)

1. Statement

Crosbybabies Ltd is committed to complying with the General Data Protection Regulation (GDPR) and the Data Protection Act 2018.
We take the privacy of parents, children, and staff seriously and handle all personal data responsibly.

2. Personal Data Collected

Accident, Incident & First Aid Policy

Crosbybabies Ltd – All Inclusive Play & Stay
Venue: St Michael’s Community Hall, Crosby

1. Statement

Crosbybabies Ltd prioritises the health and safety of all children, parents, and staff during our Play & Stay sessions.
Although parents remain responsible for supervising their children, any accidents or incidents that occur are recorded and reported appropriately.

2. First Aid

  • A qualified paediatric first aider is not present at every session.

  • Staff can provide basic support if needed.

  • Parents must be informed immediately of any injury or accident.

  • Parents are responsible for seeking further medical attention if required.

  • Emergency services will be called if a child is in serious danger or at risk.

3. Accident & Incident Recording

All accidents or incidents must be recorded in the Accident & Incident Log, including:

  • Date and time of the incident

  • Name of the child involved

  • Description of what happened

  • Action taken

  • Name of staff reporting

  • Parent acknowledgment

4. Reporting Procedure

  1. Staff identify and assess the situation.

  2. Provide immediate care if safe and appropriate.

  3. Inform the parent/guardian present.

  4. Record details in the Accident/Incident Log.

  5. Escalate to emergency services if required.

5. Follow-Up

  • Staff will review any incident to determine if further action is required.

  • Persistent hazards will trigger a review of risk assessments.

Risk Assessment Policy

1. Statement

Crosbybabies Ltd recognises the importance of risk assessments in maintaining a safe environment for children, parents, and staff.
Risk assessments identify hazards and implement measures to minimise or remove risks.

2. Types of Risk Assessments

  1. Annual Full Risk Assessment – Comprehensive assessment of the hall, equipment, and activities.

  2. Daily Session Risk Assessment Checklist – Pre-session checks for hazards in the hall, toilets, and play areas.

  3. Equipment-Specific Assessment – Checks for all soft play and toys for damage or wear.

  4. Activity/Event-Specific Assessment – For any special events or unusual activities.

3. Responsibilities

  • Staff: Complete daily checks using the risk assessment checklist before each session.

  • Management: Ensure risk assessments are up-to-date, documented, and reviewed annually.

  • Parents: Report hazards or unsafe situations immediately to staff.

4. Identifying Risks

Common risks may include:

  • Slips, trips, and falls

  • Damaged or unstable equipment

  • Overcrowding

  • Fire hazards

  • Allergic reactions

  • Unsafe behaviour

Each risk must be logged with:

  • Description of hazard

  • Likelihood of occurrence

5. Recording and Review

Staff must communicate any new risks to parents, especially if activities or equipment have changed.

Health & Safety Policy

1. Statement

Crosbybabies Ltd is committed to providing a safe, clean, and hazard-free environment for children, parents, and staff during all Play & Stay sessions.
Parents are responsible for supervising their own children at all times.

2. Responsibilities

  • Management: Ensure equipment is safe, well-maintained, and that staff follow safety procedures.

  • Staff: Conduct pre-session safety checks, monitor sessions, and report hazards.

  • Parents: Supervise their children and report any hazards or incidents immediately.

3. Venue Safety Checks

Before each session, staff must ensure:

  • Floors and walkways are clear of hazards

  • Fire exits are unobstructed

  • Electrical hazards are identified and managed

  • Toilets and hall facilities are safe and clean

  • Soft play equipment is checked for damage or defects

4. Equipment Safety

Soft play equipment must be:

  • Cleaned and sanitized before each session

  • Checked for tears, cracks, or instability

  • Immediately removed from use if unsafe

  • Properly set up according to manufacturer instructions

5. Session Safety

During sessions, staff and parents must:

  • Monitor for overcrowding

  • Ensure safe use of all toys and soft play equipment

  • Enforce hall rules (no running on hard floors, no food on equipment)

  • Stop play immediately if hazards are identified

6. Fire Safety

  • Ensure all fire exits are clear

  • Keep a clear path to fire extinguishers and alarms

  • Direct families to the designated muster point in emergencies

7. Emergency Procedures

  • In case of emergency (fire, injury, or hazard), staff will take control of the situation, direct parents, and call emergency services if necessary.

  • All incidents must be recorded in the Accident/Incident Log.

8. Review

This policy will be reviewed annually or sooner if there are changes to legislation, equipment, or incidents.​

Soft Play Hire – Terms & Conditions (Including Safeguarding Requirements)

Crosbybabies Ltd – Soft Play Hire Agreement

Please read carefully. By booking with Crosbybabies Ltd, you agree to the following conditions:

 

1. Supervision & Responsibility

  1. Children must be supervised at all times by a responsible adult aged 18+.

  2. Crosbybabies Ltd staff do not supervise children; we only deliver, set up, and collect equipment.

  3. The hirer accepts full responsibility for:

    • Children’s safety

    • Correct use of equipment

    • Monitoring behaviour

    • Preventing injuries

 

2. Safeguarding & Child Welfare

Crosbybabies Ltd is committed to protecting children.
Therefore:

  • Staff will never be left alone with children.

  • Staff may withdraw from a setting they feel is unsafe or inappropriate.

  • If staff witness concerning behaviour relating to a child’s wellbeing, we are required to follow our Safeguarding Procedures, which may involve reporting concerns to the Designated Safeguarding Lead (DSL) or appropriate authorities.

  • No photos or videos of children will be taken by staff.

 

3. Equipment Use

  1. Equipment is for indoor or outdoor use (depending on package) and must be kept clean, dry, and safe.

  2. Shoes, food, drinks, face paint, pets, and sharp objects are not allowed on soft play equipment.

  3. Ball pits must not be overfilled or used for throwing balls.

  4. Adults must not use or sit on the equipment.

  5. Damage, excessive dirt, or misuse may result in cleaning or repair charges.

 

4. Venue Requirements

  • Space must be clear before arrival.

  • Access must be safe and suitable for equipment delivery.

  • Outdoor hires require level ground and weather protection (e.g., gazebo).

  • Crosbybabies Ltd reserves the right to refuse set-up if conditions are unsafe.

 

5. Safety

  • Equipment must not be moved after installation.

  • No overcrowding—maximum numbers must be followed.

  • Electrical items must be kept away from water.

  • The hirer must stop play immediately if hazards arise.

 

6. Payments & Cancellations

  • Deposits are non-refundable.

  • Full payment is due before or upon delivery.

  • Cancellations within 48 hours may incur charges.

  • Severe weather cancellation (if outdoor hire) may be rescheduled free of charge.

 

7. Liability

  • Crosbybabies Ltd cannot be held liable for injuries caused by misuse or lack of supervision.

  • Equipment is insured, but supervision is the hirer’s responsibility.

  • Hirers must ensure venue insurance permits hired play equipment.

 

8. Agreement

By booking, you confirm:

  • You have read, understood, and agree to these Terms & Conditions.

  • You accept responsibility for equipment and child safety.

Terms & Conditions of Hire

To satisfy our Insurance we have to detail these terms and conditions of hire.

If “You” the Hirer are in any doubt as to the meaning of the following, a representative from Bury Soft Play should immediately be consulted Health & Safety Disclaimer

1. Crosbybabies.ltd are a hire only company and supervision is not included in our service. It is the FULL responsibility of the “hirer” and the other parents/carers present at the venue to ensure that all children are fully supervised at all times.

2. Crosbybabies.ltd will accept no responsibility or liability for any injury caused during use of the soft play equipment or inflatables. We take every precaution to prevent injury, which is why we will check the equipment once it has been set up and sign to confirm you are happy with everything before we leave the premises. In the event that a defect is discovered upon set up then we will take that item away with us to prevent potential injury. We may not be able to provide a suitable replacement product if this issue arises. We kindly request that children do not start using the equipment until instructed.

3. Your £50 deposit is non-refundable, if you cancel your booking the deposit can be moved over to a new date providing, we have availability. The deposit is deducted from your package cost and is not a security deposit. Full payment is required by NO LATER than 14 days prior to the party date. This is by way of bank transfer. A receipt and invoice can be generated as required. If the balance has not been received by 10 days before the party, we reserve the right to cancel the booking. In special circumstances we can accept cash payments however this must have been agreed prior to the party date and be paid prior to the set up of the equipment.

4. It is the responsibility of the hirer to ensure that there is easy access to the venue for unloading (delivery) and loading (collection) of the equipment.  Please ensure we have plenty of time to set up the equipment and collect at the end and take this into consideration when booking your hall. Please allow at least 1 hour before and after your party to set up and pack away. Crosbybabies.ltd can not be held responsible if we are unable to set up the equipment on time due to access issues at the venue.

5. We will always make every effort to arrive in plenty of time to set up the equipment, however in the event of any unforeseen circumstances beyond the control of Crosbybabies.ltd such as severe weather conditions or major traffic problems, we will endeavour to contact you and reach you ASAP, however, Crosbybabies.ltd cannot be held responsible.

6. Our equipment is designed for 0-10 years, although some items may be suitable for slightly older children and some not suitable for children younger than 12 months. Crosbybabies.ltd will provide age appropriate equipment based upon details given by the hirer. If you have any doubt, please ask us. Please note that although our equipment may be used/accessed by adults to supervise and facilitate children’s play, it is not designed or intended for sole adult use/recreation. Adults should refrain from sitting on the equipment at all times (wiggle cars have a weight limit of 80 kg).

Once the soft play and inflatable equipment is set up, the safe operation of all equipment becomes the responsibility of the hirer and therefore you must ensure that all possible steps are taken to avoid injury to your children or damage to the equipment supplied. The equipment will only be set up in an open space, please ensure the venue is ready before the package items are delivered, Crosbybabies.ltd will not be responsible for moving anything not owned by us. We will brief you on safe usage.

7. Please make sure that NO FOOD/DRINK or CHEWING GUM is consumed on or near
the equipment. If FACE PAINTING is happening at the party, it must be water based. We respectfully ask that it is removed swiftly from any play equipment/inflatables,
should they become marked. Marks are easily removed with wet wipes. Should the items be returned stained we may seek damages if the items are heavily soiled. There will be a charge of £500 to replace soft play and a charge of £1200 to replace bouncy castle.

8. NO OUTDOOR SHOES to be worn at any time when using the equipment. This applies for children and parents/guardians entering the soft play area or walking over the padded floor tiles whilst supervising. It is essential, for hygiene reasons that SOCK’S are kept on the children at all times. No sharp items to be worn on clothing or in pockets. Any damage caused by neglect will result in the hirer being charged to replace items.

9. No Party Poppers, Coloured streamers or Silly String are to be used, thrown or sprayed onto or near the equipment, these materials permanently stain the material and the hirer will be liable to compensate.

10. We request that there must be a minimum of 2 responsible adults (over the age of 18) supervising children at all times. To comply with our insurance regulations responsible adults must not be under the influence of alcohol or drugs when in charge.

11. Where smaller children are using the equipment i.e. as young as 1 year old we strongly recommend that each child is supervised by an adult at all times.

12. It is the hirer and the supervising adults responsibility to ensure that the equipment does not become too overcrowded and is not used inappropriately or in any manor likely to cause injury or damage. We provide the appropriate equipment based around the “hirers” information regarding party attendees.

13. It is important that the area is not overcrowded; all packages have a safe users limit as described and this must not be exceeded. Do not allow children to become boisterous, push, collide or fight in a manner that will hurt or cause distress to others.

14. Crosbybabies.ltd accepts no responsibility regarding photography of children by others using the Soft play equipment. Crosbybabies.ltd requires images to be taken of each party, however, no children will be present in the pictures. Unless agreed upon.

15. In the event of bad weather, Crosbybabies.ltd will endeavour to provide the party package as booked. We will contact you via phone prior to the event. Should we have to cancel the party a full refund will be issued, should the “hirer” cancel the party then no refund is to be issued.

16. When a party package is provided and the venue is not big enough, “we” reserve the right to amend the party package on-site to allow safe usage of the equipment and maintain the safely of the attendee’s. We will always advise as to the size of the venue needed. Should the venue not be big enough, no refund/partial refund will be offered. It is the hirers responsibility to ensure that they book a big enough venue.

The Equipment

1. Although the Soft play equipment and Balls from the ball pool are cleaned after every event it is recommended that supervising adults discourage children from placing balls/equipment in their mouths for hygiene purposes.

2. We advise that safety mats must always be used under all Soft play items this excludes ride ons. The Happy Hoppers can be used on or off the soft matting depending on the age of child using them. Particular care should be taken when younger children and toddlers are exiting the large ball pool, climbing on top of any soft play to ensure no accidents occur. Diving/ jumping into or standing on the side of the Inflatables or soft play items in a manner not intended MUST NOT be allowed in an attempt to prevent injury.

3. Soft play equipment must not be thrown. Please do not attempt to move or dismantle any of the equipment yourself.

4. Rockers should be supervised closely and only 1 child should play on them at a time


5. Please make sure that none of our equipment is removed or taken from the venue in which we deliver it to.

6. Our inflatables can be used safely, providing they are used correctly. We will explain their safe use during your party set up. Failure to not adhere to these guidelines may result in injury. Bury Soft Play cannot be held liable should injury occur due to misuse.

7. Please be mindful that we would like to collect our equipment in the same condition in which we leave it when it is delivered to you. We would like lots of little ones to be able to enjoy the use of our equipment just the same as your little ones will. Please make sure all the above is adhered to and that supervision is supplied to ensure that there is no misuse of our equipment.

8. Please use the ride ons as instructed. Damage can occur to venue flooring should they not be used in the correct way. If found to have been using incorrectly, then Crosbybabies.ltd cannot be held responsible should the venue seek damages from the hirer. When used correctly equipments are enjoyed by children and adults.

Here at Crosbybabies.ltd, we understand that accidents can happen. However, provided that the equipment is used in accordance with the above guidelines and conditions of hire, the risk of accidents, injury or damage should be minimal. Crosbybabies.ltd can accept no liability for injuries sustained or any other loss, howsoever caused, in the absence of the negligence of Bury Soft Play or its employees. As the equipment will be in the hirers possession and control whilst in use rather than Crosbybabies.ltd, any liability for injuries or other losses caused, rests with the hirer.

Additional charges WILL apply if equipment is damaged or broken, soiled equipment must be cleaned immediately by the HIRER and our collection team must be informed of this when the items are collected. Contact will be made by Crosbybabies.ltd within 48 hours of your event finishing should we find damage not brought forward.
