Play & Stay – Terms & Conditions

1. General Principles & Liability

By booking a session at Crosbybabies.ltd Stay & Play, you agree to the following terms. We strive to provide a fun, safe, and inclusive environment, but please be aware:

  • Inherent Risk: Play facilities involve risks such as tripping, falling, and bumping. By entering, parents/guardians recognize and accept these risks.

  • Liability: Crosbybabies.ltd accepts no liability for loss, theft, damage to personal property, or personal injury, unless caused by our proven negligence. This includes the car park area.

  • Supervision: This is not a drop-off service. Children must be supervised by a responsible adult (18+) at all times, including in the bathrooms.

2. Booking, Payments & Cancellations

  • Reservations: Online booking is highly advised. Walk-ins are welcome only if space permits.

  • Payment: Full payment is required before or at the start of your session.

  • Refund Policy: * Deposits are non-refundable.

    • Cancellations made under 72 hours before the session are non-refundable.

    • No-shows are non-refundable and non-transferable.

    • Refunds for exceptional circumstances are at the sole discretion of management.

3. Health, Safety & Hygiene

  • Illness: To protect others, children who are unwell or contagious must not attend.

  • Medical Info: Parents must inform staff of any relevant medical conditions or allergies.

  • First Aid: All accidents are recorded in our Accident & Incident Log. While we maintain safety, a paediatric first aider may not be present at every session; emergency services will be called if required.

  • Cleanliness: No shoes, food, drinks, or gum are permitted on the soft play equipment.

  • Reporting: Please report any equipment damage or hazards to a staff member immediately.

4. House Rules & Behaviour

  • Respect: We expect positive and respectful behaviour from both adults and children. Staff reserve the right to intervene or ask guests to leave if safety or wellbeing is at risk.

  • Equipment Use: Soft play equipment is for children only. Adults must not climb or sit on the soft play.

  • No Running: For safety, there is no running on the hard floors.

  • Food/Drink: Only food and drink approved by the cafe may be consumed on-site.

5. Safeguarding & Photography

  • Safeguarding: Staff will never be left alone with children. Any welfare concerns will be reported to our Designated Safeguarding Lead (DSL) and, if necessary, local authorities.

  • Photography: You may photograph your own child only.

  • Marketing: Staff may take photos for social media/marketing. If you wish to opt out, please inform a staff member upon arrival.​

6. GDPR & Data Protection

We comply with the UK GDPR and Data Protection Act 2018 to ensure your information is handled safely.

  • Digital Storage: All personal data is collected and stored securely via our Wix digital platform. By booking with us, you acknowledge that your data is processed through this system.

  • Data Collected: We collect names, contact details, and child health/accident records for booking and safety purposes.

  • Allergy Records: We record allergy information for safe practice; however, while we follow Food Standards Agency (FSA) guidelines, we cannot guarantee a 100% allergen-free environment due to the risk of cross-contamination.

  • Liability: Crosbybabies.ltd accepts no responsibility or liability for ill health resulting from food allergies or cross-contamination.

  • Retention: Digital records are retained for 3–7 years in line with legal and insurance requirements.

  • Your Rights: You have the right to access, correct, or request the deletion of your data (where legally permitted) by emailing crosbybabies@gmail.com.
